Do Automated Phone Reminders for Rent Work?
Email and text handle most rent reminders. But for seriously overdue rent, or tenants who never read messages, a phone call gets through in a way nothing else does. Here's when it's worth it.
Where each channel fits
| Channel | Best for | Weakness |
|---|---|---|
| Routine reminders before the due date | Easy to miss or ignore | |
| SMS | Short nudges around the due date | Can feel intrusive if overused |
| Voice call | Seriously overdue rent, unresponsive tenants | Most intrusive; strictest consent rules |
A good reminder system escalates: email first, text next, and a call only when the earlier steps haven't worked. Read more in the best way to send rent reminders.
Why calls work when messages don't
A ringing phone demands attention in real time. A tenant who has let five emails pile up will often pick up a call, and a two-minute conversation is frequently enough to get a payment date. Calls also reach tenants who don't use email much or who change phone settings to filter unknown texts.
The rules on automated calls
Under the federal TCPA, calls to cell phones using an autodialer or an artificial or prerecorded voice generally require the person's prior express consent, and the FCC has confirmed that AI-generated voices count as "artificial" voices. That means:
- Get clear, documented consent for automated calls, separate from text consent if possible
- Identify who's calling and why at the start of the call
- Provide a way to opt out, and honor it promptly
- Call during reasonable hours in the tenant's time zone
See our guide to TCPA consent for texting tenants; the same consent principles apply to calls.
What a good automated reminder call sounds like
It's short, polite and specific: who's calling, the property, the amount and due date, and what to do next (pay, or call the landlord back). No threats, no pressure, no talk of legal action. A call that sounds like a debt collector damages the relationship and can raise legal issues of its own.
AI voice reminders
Newer AI voice systems can do more than play a recording. They can answer simple questions ("How much do I owe?"), take a promised payment date, and pass it back to the landlord. Ping is building AI voice reminders for seriously overdue rent, triggered only after email and SMS reminders haven't worked. Learn more about Ping Voice.
Frequently asked questions
Are robocalls to tenants legal?+
Automated or prerecorded calls to cell phones generally require prior express consent under the TCPA. With proper consent, informational calls about rent are allowed. Without it, each call can carry significant statutory damages.
Should I call tenants myself instead?+
A personal call from you is not "automated" and is often the most effective step for a long-overdue payment. The drawback is time: automation helps when you have many units or don't want to make these calls yourself.
